Privacy Policy
1. Introduction
This Privacy Policy describes how Knots (the "Service") collects, uses, and handles your information when you use our web application for task and goal management. By using the Service, you agree to the practices described in this policy.
Knots is a productivity tool that connects to third-party services to extract and organize action items on your behalf. This policy covers data handling by the Knots application itself. The third-party services you connect (Monday.com, Slack, Granola, Gmail, and Anthropic Claude) are governed by their own privacy policies, which you should review independently.
2. Information We Access
When you use Knots, the Service accesses the following categories of information through its integrations:
2.1 Slack
The Service reads Slack messages in which you are mentioned or tagged. This includes the message text, the sender's name, the channel name, the message timestamp, and the message permalink. The Service does not access your full Slack message history, private messages where you are not mentioned, or Slack workspace administration data.
2.2 Granola
The Service reads meeting transcripts and summaries from your Granola account, including meeting titles, action items, participant information, and timestamps. Access is limited to meetings within the configured scan window (typically the last 12 hours).
2.3 Monday Notetaker
The Service reads meeting recordings, summaries, and action items from Monday Notetaker for meetings you own. This includes meeting titles, transcripts, extracted action items, and participant information.
2.4 Gmail
The Service reads recent emails from your Gmail inbox to identify action items. This includes the email subject, sender name, email body text, and timestamp. The Service applies filters to exclude automated notifications and newsletters. The Service does not access email attachments, drafts, or sent mail.
2.5 Monday.com
The Service reads from and writes to a designated Monday.com board. This includes creating new items (action items), reading existing items for deduplication, and updating item statuses. The Service does not access other boards, workspaces, or Monday.com account settings beyond the designated board.
3. How We Use Your Information
The information accessed through your connected services is used for the following purposes:
- Action item extraction. The AI scans your messages, meetings, and emails to identify tasks and requests directed at you.
- Task creation. Identified action items are written to your Monday.com board with relevant metadata (source, sender, timestamp, context summary).
- Deduplication. Existing items on your Monday.com board are read to prevent duplicate entries.
- Translation. If source content is in a language other than English, the AI translates extracted action items to English before writing them to the board.
- Display. The Knots web app reads your Monday.com board to display action items in your Inbox.
4. Data Storage and Retention
4.1 What Knots Stores
The Knots web application itself does not maintain a separate database of your messages, emails, or meeting transcripts. The primary data store for your action items is your Monday.com board. The Knots app reads from this board at runtime to display your tasks.
4.2 Data on Third-Party Platforms
Your action items, including the item name, source information, sender name, context summary, and timestamps, are stored on Monday.com according to Monday.com's data retention and storage policies. You control this data through your Monday.com account and can delete it at any time.
4.3 AI Processing
The scanning and extraction process runs through Anthropic's Claude Cowork. During each scan, the content of your messages, meetings, and emails is sent to Anthropic's API for processing. Anthropic's data retention and handling practices for API requests are governed by Anthropic's privacy policy and terms of service. The Service operator does not control how Anthropic processes or retains data submitted through its API.
4.4 Raw Context
Each action item includes a "Raw Context" field containing a short English-language summary of the source message. This summary is stored on your Monday.com board. It does not contain the full original message but provides enough context to understand the action item without returning to the source.
5. Data Sharing
Knots does not sell, rent, or share your personal information with third parties for marketing or advertising purposes.
Your data is shared with third-party services only as required for the Service to function:
- Anthropic (Claude) receives message and email content during each scan for AI processing.
- Monday.com receives extracted action items and metadata for storage on your board.
Beyond these operational data flows, the Service does not transmit your data to any other parties. If the Service operator is required to disclose information by law, court order, or government request, they will comply with applicable legal obligations.
6. Security
The Service relies on the security measures provided by the third-party platforms it integrates with. Authentication and authorization for each connected service (Slack, Granola, Monday.com, Gmail, Anthropic) are handled through those platforms' own OAuth or API key mechanisms.
The Service operator takes reasonable measures to protect the application, but cannot guarantee the security of data transmitted to or stored by third-party services. You are responsible for securing your own accounts and credentials for all connected services.
7. Your Rights and Choices
You have the following options regarding your data:
- Disconnect services. You can revoke the Service's access to any connected platform at any time through that platform's settings.
- Delete action items. You can delete any action items from your Monday.com board at any time.
- Stop scanning. You can disable or delete the Claude Cowork scheduled tasks to stop all automated scanning.
- Delete your board. You can delete the entire Monday.com board to remove all stored action items.
- Request information. You may contact the Service operator to ask what data, if any, is held about you beyond what is stored on your Monday.com board.
If you are located in a jurisdiction with specific data protection rights (such as the EU under GDPR, or California under CCPA), you may have additional rights including the right to access, correct, or delete your personal data. Contact the Service operator to exercise these rights.
8. Children's Privacy
The Service is not intended for use by anyone under the age of 18. The Service operator does not knowingly collect personal information from children. If you believe a child has used the Service, please contact the Service operator so that appropriate steps can be taken.
9. International Data Transfers
Your data may be processed in countries other than your own, depending on where the third-party services (Anthropic, Monday.com, Slack, Google) operate their infrastructure. By using the Service, you consent to the transfer of your information to these jurisdictions, which may have data protection laws that differ from those in your country.
10. Changes to This Policy
The Service operator may update this Privacy Policy from time to time. Changes will be reflected by updating the effective date at the top of this document. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
